This is primary responsible for front desk reception/hostess activities for Schaefer Systems International.  This position also handles general office duties, administrative support, maintains office supplies, maintains meeting rooms, provides and serves meeting meals, and runs general errands.


  • Handles all main receptionist duties such as greeting visitors, vendors, customers etc.
  • Administrative assistant by performing a variety of administrative tasks and using a variety of MS Office programs (i.e. Word, Excel, PowerPoint).
  • Maintain office supplies, stocking coffee/tea stations )ordering, maintaining inventory).
  • Sort and distribute incoming daily mail.
  • Take outgoing mail to the Post Office as necessary.
  • Prepares Fedex Shipments.
  • Facilitates meetings by preparing rooms and materials for attendees.
  • Order and serve food and coffee for lunches, parties, and special guests.
  • Main point of contact for vending machine services, commercial cleaning services, etc.
  • Maintain meeting rooms and reservations.
  • Run daily errands, including runs to other buildings on campus with mail deliver, fill coffee/tea stations, office supplies, etc.
  • Assist travel coordinator as needed with booking flights, hotels, cars, or lodging arrangements effectively though our online travel platform.
  • Other duties may be assigned as business needs dictate.


  • Excellent knowledge of Microsoft Office Suite products
  • Telephone/reception experience
  • Pleasant demeanor and excellent verbal communication skills
  • 3-5 years office environment experience
  • Ability to multi-task, manage multiple projects, and prioritize workload in a fast-paced environment.
  • Strong communication and negotiation skills.
  • Strong service orientation, detail orientation, and accuracy.
  • Knowledge of the German language is a plus.
